What Actually Gets Automated in a Real Estate Business

"Automation" is a word that has been used to sell agents a lot of software that saved nobody any time. It is worth being concrete. In a real estate business there are exactly five places where work repeats often enough and predictably enough to hand to a machine, and everything AI IntelliCall Solutions does sits in one of them.

1. Capture — one intake instead of five

Leads arrive from portals, your IDX site, forms, ad campaigns, referrals and the phone. Most teams have them landing in different places with different fields, which is why the same person exists as three records and the pipeline report is fiction. The first job is a single intake path where every source lands with its origin preserved. That is what makes everything downstream possible. See CRM integrations.

2. First contact — measured in seconds

A lead that arrives at 9pm and gets called at 10am the next day has usually already spoken to somebody. The AI voice assistant places the first call within seconds of capture and answers inbound around the clock, in English or Spanish. Missed-call text-back catches what the call does not.

3. Qualification — your questions, every time

The value is not that a call happened; it is that the same questions were asked and the answers were recorded. Timeline, budget, financing, whether they are working with an agent, property type, and in South Florida the association facts that decide whether a condo is even sellable. Every answer becomes a tag, a field and a transcript on the record.

4. Booking — into a real calendar

AI appointment scheduling reads live availability, books inside the conversation that created the interest, and sends confirmations and reminders with a one-tap reschedule. Qualification happens before the slot is offered, so your calendar stays worth having.

5. Nurture — the part that compounds

Most people are not ready this week. Automated follow-up keeps a retry cadence running across voice and SMS, and anyone who says "not yet" moves into long-horizon seller nurture rather than being deleted. This is the slow half of the business and the half that produces listings eighteen months out.

Campaigns sit on top of the same five

Once the layer exists, a campaign is just a list plus a reason to call: expired listings, FSBOs, circle prospecting, past-client referrals, valuation leads. Same infrastructure, different script.

Platform FAQ

Is this one product or several?

One platform. Voice, SMS, scheduling and CRM sync share the same contact record, which is the point — separate tools are what create the gaps.

Do I have to replace my CRM?

No. We build on GoHighLevel and connect to Follow Up Boss and IDX Broker; field mapping is done against your existing structure at onboarding.

How long does setup take?

It depends on how many systems touch a lead today. Bring that list to the scoping call and you will get a straight answer rather than a range.

What is not included?

Contact data and valuations. We are not a data vendor and we do not generate home value estimates — those come from your sources and tools.

How is it priced?

Voice usage is $0.23 per minute, inbound and outbound, on top of plan pricing. See pricing.

Before you run an outbound campaign

Outbound calling and texting are regulated. AI IntelliCall Solutions is the platform; you are the caller. The compliance decisions belong to you, your broker and your counsel.

You are responsible for:

  • Scrubbing every list against the National Do Not Call Registry, any applicable state registry, and your own internal do-not-call list before a campaign runs
  • Holding the consent your campaign requires for the channel and the call type you are using
  • Setting calling windows that comply with the rules where you are dialling
  • Writing the script, the opening disclosure and any recording notice, and deciding how the assistant identifies itself
  • Honouring opt-outs promptly and suppressing those contacts from later campaigns

We do not sell or supply contact data, and we do not write your scripts, disclosures or consent language. If you are not certain what applies to your campaign, speak to a lawyer before you dial. This page is not legal advice.
